From Handwritten Field Slip to Invoice in 5 Minutes: What AI Can Do Right Now

The Scenario: T&M Change Order Processing

If you’re doing Time & Materials work, you know this problem intimately. Your project managers have field personnel submit “Additional Field Work Authorization” slips throughout the day — signed documentation of labor, equipment, and materials used on a particular change order or extra work item.

At the end of the day, or the week, your office staff needs to take those handwritten slips and convert them to dollar amounts: labor at current union rates, equipment at the applicable bluebook or greenbook rates, materials at cost plus markup. Then build a Schedule of Values. Then generate an invoice or CO package. Then write the cover letter.

For a company running multiple concurrent projects, this process can consume entire days.

Why This Is Bigger Than It Looks

Think of this demo as conceptual — meaning the core capability on display is more powerful than just “field slip to invoice.”

What’s actually happening is this: unstructured human input is being converted into structured, usable computer data.

Once data is structured, it can go anywhere. The same capability that produces an invoice from a field slip can also:

  • Feed line items into your ERP system (Sage, Vista, Spectrum, QuickBooks)

This demo sits at the intersection of what I’ve called Manual Interactive AI and Automated Autonomous AI.

In interactive mode, you’re doing this with a prompt: you upload the field slip, ask the AI to process it against your price list, and review the output. It requires you to be in the loop at each step, but it requires very little technical skill — if you can use a computer and scan a document, you can do this.

In autonomous mode, this entire process runs without you: slips are scanned and dropped into a folder, processed overnight, and the priced output appears in a results folder ready for your review in the morning. That level of automation requires more technical setup, but the workflow logic is the same.
